Thank you for booking with Earthbound Expeditions, Inc. By booking a trip with us you are deemed to have agreed to these Booking Terms and Conditions, the terms of our suppliers and service providers, our privacy policy, and any other documentation we give you (hereinafter “The Agreement”), which constitutes the entire agreement between you and us and your booking is accepted by us on this basis. The services to be provided are those referred to in your booking confirmation invoice. Before making a booking with us you must ensure that you have read and understood these Terms and Conditions (and ask any questions you may have). Please be aware that these terms and conditions contain waivers of liability as well as waiver of class action and venue selection and notice clauses. By asking us to confirm your booking you are accepting all the Terms and Conditions laid out below and acknowledging that you have read the Terms of this Contract and agree with it.
The terms "we", "us", "our", “EBE” and “Earthbound Expeditions" refer to Earthbound Expeditions, Inc. The term "you" “participant” or “customer” refers to the customer booking a reservation through us. Reference to “Suppliers” and “Service Providers” means all third parties who provide services to you including airlines unless otherwise specified. We may modify The Agreement for any reason—at any time—by posting a new version on Our Website; these changes do not affect rights and obligations that arose prior to such changes. Your booking will be subject to the Terms in effect at the time of your travel. Please review these Terms periodically for changes. If you object to any provision of these Terms or any subsequent modifications to these Terms you must not make any booking with us. By making a booking with us, you confirm that you are at least 18 years of age and may legally enter into The Agreement in accordance with all Terms and Conditions herein. If you are making travel reservations for another person, you agree to inform that person(s) about the Terms & Conditions that apply to the travel reservations you have made on their behalf, including all rules and restrictions applicable thereto and these Terms and Conditions. You agree to be financially responsible for all bookings you make. You are responsible for any bookings and travel reservations made by persons under your direction or control. You also confirm that all information supplied by you or on your behalf, or by members of your household is true, current, complete and accurate. Furthermore, you also confirm that the traveler is not an unaccompanied minor.
Health Matters: Although not required as of October 8, 2024, some destinations and/or airlines may require guests to wear masks and present proof of vaccination against the Covid-19 virus in order to travel. Earthbound Expeditions will update travelers as necessary regarding these matters.
It is the responsibility of each guest to be aware of their physical abilities or limitations, and to be in sufficient good health to undertake the trip. To make the most of your journey and participate in the various planned group activities, you should be able to be on your feet and walk unassisted for two to three hours (often over uneven cobblestones or pathways) with frequent standing. If you have questions about the physical requirements for your journey, please email or call our travel office. Any preexisting physical, mental, or emotional disability that may require attention must be reported in writing prior to the beginning of the journey. We will make all reasonable efforts to accommodate requests, but cannot be responsible if ADA accommodations are not available. Any accommodations provided will be at the sole expense of the guest requiring the accommodation. Please note that accommodations outside of the USA may not be in compliance with the Americans with Disabilities Act and may not have wheelchair accessibility. We are, unfortunately, unable to offer additional assistance to guests with limited mobility and all such assistance will need to be provided by whoever the guest is traveling with. Guests with disabilities must notify us in writing no later than the time of booking of status and of the identity of their non-discounted, paid travel companion who will be responsible for providing all necessary assistance. We may request that you provide a letter from your doctor confirming your fitness to travel. Although it is not mandatory to participate in every planned and included group activity, not doing so isn’t cause for a refund. For those desiring additional exercise, our trips allow free time to explore at your own pace. On boats, planes, ships and ferries, guests will need to be able to maneuver unassisted up and down gangways, stairs and in between decks. Smokers may smoke outside and downwind of the group.
COVID 19 RELEASE OF LIABILITY. By booking a tour at this time, you acknowledge the highly contagious nature of COVID-19 and voluntarily assume the risk for yourself and any minors traveling with you, that you or they may be exposed to or infected by COVID-19 by traveling and that such exposure or infection may result in personal injury, illness, permanent disability, and death even if such injuries or losses occur in a manner that is not foreseeable at the time you book your tour. You acknowledge that exposure to such viruses or disease is an inherent risk of traveling, that cannot be controlled or eliminated by EBE.
You acknowledge that due to the uncertainty of travel at this time, your tour may be postponed or cancelled, or changes may be made to itineraries due to closures of certain sites or activities, for which there may be no refund. You may also be required to quarantine upon arrival in some locations. On your return home, additional testing, requirements, or documentation may be required. You are responsible for understanding these requirements and must not rely on EBE to provide these details. You understand that you may become sick before, during, or after the tour and may not be able to travel and such cancellation or interruption will be subject to our cancellation terms below, for which we will not be liable.
You agree that due to uncertainty caused by COVID 19, EBE has strongly encouraged the purchase of travel protection coverage including cancel for any reason coverage if and when available, and that should you fail to purchase travel protection coverage, EBE shall not be liable to any losses howsoever arising.
You, for yourself, and any minors traveling with you, and on behalf of your and their heirs, assigns, personal representatives and next of kin (The Releasors), HEREBY RELEASE, AND HOLD HARMLESS Earthbound Expeditions, Inc., its shareholders, officers, agents, and/or employees, and suppliers (RELEASEES), of from and against any and all claims, damages, demands, losses, and liability arising out of or related in any way, in whole or in part to any POSTPONEMENT, CANCELLATION, CHANGES, INJURY, DISABILITY, DEATH OR ANY OTHER LOSS you may suffer due to exposure, infection, spread, closure, and travel restrictions related to COVID- 19, WHETHER ARISING FROM THE NEGLIGENCE OF THE RELEASEES OR OTHERWISE, to the fullest extent permitted by law. The terms of this HOLD HARMLESS AND RELEASE OF ALL LIABILITY paragraph, shall survive any termination or cancellation of this Contract, whether by operation of law or otherwise.
Tour Group Size: We pride ourselves on providing a small, shared group experience. However, to ensure the departure of an expedition at the lowest price, Earthbound Expeditions has at times found it necessary to overbook a trip in order to anticipate the possibility of numerous last minute individual cancellations and/or a declining US dollar. River ships, hosted and private journeys may be larger than other trips. By doing this we are able to eliminate surcharges.
Travel Insurance: Earthbound Expeditions strongly encourages the purchase of Travel Insurance Coverage. We include information about trip insurance in your deposit information. It is important to check with your medical insurance provider to understand your medical benefits and coverage while traveling abroad. Depending on the type of coverage you purchase, you may also be covered for lost or stolen personal items delayed or missed flights, lost baggage, emergency evacuation services etc. It is the responsibility of each traveler to purchase (or decline) the desired level of insurance and understand the requirements for making an insurance claim. Certain countries have a requirement for foreign visitors to have valid medical insurance on entry. Earthbound Expeditions cannot be held responsible for denied entry if a guest is unable to provide details to authorities of insurance or denial of entry for any reason. If you choose to travel without adequate insurance coverage, we will not be liable for any of your losses howsoever arising, for which insurance coverage would otherwise have been available. Please read Earthbound Expeditions’ cancellation policy carefully in order to avoid incurring costly penalties. Also note that Earthbound Expeditions is not responsible for lost items, delayed luggage, accidents, missed flights, or other matters beyond our control.
Tipping: Savvy travelers know that tipping is expected in most parts of the world, though never knowing when and how much can become a source of stress. To spare our guests hassle and anxiety, Earthbound Expeditions has included all gratuities for guides, drivers, dining room servers and local specialists on nearly all of our journeys. Some travelers like to reward outstanding service with an additional tip, gift or card. Gratuities for hotel staff, boat crew (for river cruises) and those serving you while not with the group are not included. Note: Gratuities may not be included on private or hosted trips. Please refer to your specific itinerary for details.
Air Travel: Prices listed are based on group contract availability. Taxes and fuel surcharges are subject to change until ticketed and are included in the air price quote. Please note that Earthbound Expeditions acts only as an agent for airlines and is restricted by their respective policies. Group flights are in a special fare class and can be quite restrictive: mileage points may or may not be accrued, upgrades are limited or not possible and seats may be randomly assigned. A minimum of ten passengers must travel together on group flights. The industry standard deadline for securing group space is 90 days prior to departure. In some cases, when the bare minimum of ten passengers does not materialize by this deadline, Earthbound will offer a competitive alternative and will assist passengers in booking their flights. A deviation fee may apply if you have booked the group flight, but are returning on a different date. Earthbound Expeditions is not responsible for route changes and flight delays. Airline group contract rates may require payment by check and/or an additional deposit. Please read the airline deposit schedule carefully, as in most cases they are not refundable. NOTE: Earthbound Expeditions does not accept liability incurred by the purchase of individual non-refundable airline tickets. It is for this reason we strongly recommend purchasing refundable airline tickets or including the cost of the ticket in your travel insurance coverage. Earthbound staff is unable to assist travelers with mileage award tickets. Requests to add-on or remove a group flight must be submitted in writing 91+ days prior to departure.
Booking Flights: Reserving and booking your own airline ticket is a cinch and may be done in a matter of minutes online. To find the best price and arrange your air travel we suggest you visit a search engine site such as Skyscanner, Momondo or Kayak.com. This suggestion is in no way meant to suggest or imply or in any way communicate our recommendation, approval, affiliation, partnership, or sponsorship of Skyscanner, Momondo or Kayak.com. Your interaction with any of these websites is at your own risk. Important Note: Using a search engine will assist you in finding the best price, route, and flight option. However, we strongly recommend that once you have settled on a route, airline and price, book directly with the airline. By doing so you will be able to communicate directly with the airline if you encounter any problems or flight delays.
Pre & Post Tour Extensions: Unless stated otherwise, a minimum of 14 plus guests is required in order to operate the post-tour extension and airline deviation fees may apply. Requests to add-on or remove a pre and/or post tour extension must be submitted in writing.
Solo Travelers and Single Accommodations:Single accommodations may be requested by paying a single supplement comfort fee; these are limited and based on availability. For those willing to share, Earthbound Expeditions will assist in finding a same-gender roommate, and if one is found, the Single Supplement is waived. If a roommate cannot be found, guests will be asked to pay the Single Supplement comfort fee.
Traveling with Children: With the exception of our adventures to Costa Rica, Earthbound Expedition journeys have been designed for the active, mature adult. Most of our journeys include cooking classes, wine tastings, concerts and late evenings out which are not suitable for children under 12. If you have questions about a specific journey, please telephone our travel office.
Discounts: All Alumni of Earthbound Expeditions will receive $100 off the published journey price (private trips may be excluded). If Earthbound Expeditions has other discounts available, participants may choose the greatest available discount. Most of our travel discounts may not be combined and are applied to the land portion only. Pay by Check discounts are only valid when paying final balance (i.e., tour cost less tour deposit) in one lump sum.
Refer a friend and Save! Refer a friend and save an additional $75 for each person, new to Earthbound, who travels with you on an Earthbound expedition. “Refer a friend” discounts may be combined with alumni discounts.
Release of Liability: This trip is operated by Earthbound Expeditions (EBE). It has made the travel arrangements as agent for the transportation carriers and other suppliers (SUPS) of services connected with the tour, all of which are independent contractors. EBE in no way owns or operates the vehicles or facilities to be used during the trip, & does not guarantee or assume responsibility for the acts and/or omissions of SUPS, their employees, agents, etc. All bookings are accepted subject to the conditions imposed by SUPS and EBE, including airline, cruise line, rail, coach, hotel, restaurants, insurance, and other companies, firms or persons concerned with the trip, and all customers agree that neither Earthbound Expeditions, nor its employees, agents, or representatives are or may be liable for any loss, injury, or damage to any tour participant or their belongings, or otherwise, in connection with any service supplied or not supplied resulting directly or indirectly from any occurrence beyond the control of Earthbound Expeditions. Earthbound Expeditions is not liable for any negligent or willful act or failure to act of any such person or entity, or of any other third party. We are not responsible for a supplier’s failure to pay a refund or for supplier bankruptcy or insolvency.
We cannot accept responsibility for losses or additional expenses due to delay or changes in air or other services, sickness, weather, strike, war, quarantine, acts of God or other causes beyond our control. All such losses and expenses will have to be borne by the passenger, as journey rates provide for arrangements only for the time stated. All published itineraries are subject to change, which would not be cause for a refund. We also reserve the right to amend typos and misprints in pricing and other trip information. The right is reserved to cancel the journey prior to departure, in which case the entire payment will be refunded without further obligation on our part. We also reserve the right to decline to accept or to retain any person as a member of the journey, or to require a participant to withdraw from the journey at their own expense when such an action is determined by journey staff to be in the best interest of the participant’s health and safety, and that of the group in general. No refund will be made for the unused portion of any journey. Earthbound Expeditions does not accept liability incurred by the purchase of a non-refundable airline ticket. Further, each traveler is responsible to check the CDC and WHO guidelines for the countries they plan to visit, and decide for themselves, if the trip offered is a good match for them.
Assumption of Risk: Additional risks and dangers may arise including, but not limited to, hazards of travel by train, automobile, motor coach, aircraft and other means of conveyance, animal interactions, forces of nature, political unrest, other unrest, risks associated with water, food, plants, insects and differing animal regulation, and acts of national and local governments and unrest and acts of others against governments. These risks are not an exhaustive list but are examples of many kinds of risks. You are voluntarily participating in these activities with the knowledge that there are significant dangers involved, and you hereby agree to accept any and all risks. As lawful consideration for the agreement with EBE to participate in such trips and activities you agree you will not make a claim against EBE, its related companies or its personnel or sue for bodily injury, emotional trauma, death, property loss or damage or other loss, cost or expense, however caused, as a result of or related to your contracting for, traveling to or from, or in any and every other way participating in the trip. You release EBE, its related companies and its personnel from any and all claims, known or unknown, arising from contracting for, traveling to or from, and in any and every way participating in a trip. This release of liability and assumption of risk agreement is entered into on behalf of you and all members of your family and party, also including minors. This agreement also binds your heirs, legal representatives and assigns.
Where the guest occupies a motor coach or other vehicle seat fitted with a safety belt, neither EBE nor the Operator nor its agents or co-operating organizations or service providers will be liable for any injury, illness or death or for any loss or damages or claims whatsoever arising from any accident or incident, if the safety belt is not being worn at the time of such an accident or incident. This exclusion and limitation of liability shall not be used to imply that the Operator or its agents or affiliated entities are liable in other circumstances.
Force Majeure: EBE assumes no liability for, any loss, damage, delay, or cancellation resulting in whole or in part from an Act of God or any other force majeure condition, including, without limitation: fire, volcanic eruption, hurricane, environmental pollution or contamination, inclement weather, earthquake, low or high water levels, flood, water or power shortages or failures, tropical storms or hurricanes, riots or civil commissions or disturbances, and any other acts of a similar nature, sabotage, arrests, strikes or labor disruptions, restraint of rulers or peoples, expropriations, acts of terrorism, war, insurrection, quarantine restrictions, government health advisories, epidemics, pandemics, or warnings or alerts of any kind of nature, government seizures, refusal or cancellation or suspension or delay of any government authority or any license, permit or authorization, damages to its facilities or the travel supplier and its facilities, or any other unforeseen circumstances or any other factors unforeseen by EBE that impacts negatively on, or hampers, its ability to fulfill any of its contractual conditions. In the circumstances amounting to force majeure, we will not be required to refund any money to you.
Pricing: In the event that there are fewer than the minimum participants listed in your itinerary, you will be offered a small group comfort charge to ensure that the journey departs as scheduled. Former guests have greatly appreciated the benefits of traveling with a smaller group. Earthbound staff or hosts are not included in the number of tour participants. Please refer to your detailed itinerary for pricing information specific to your journey.
Although no changes in the price of your trip are expected, Earthbound reserves the right to add a supplement or to alter the trip price due to unexpected currency fluctuations of plus or minus 5% and/or spikes in fuel prices.
Photos and comments: Please note that Earthbound Expeditions may use any film likenesses taken of a guest and any of their written comments made while on an EB tour for future marketing.
Land Reservations and Deposits: Early reservations are essential to guarantee space on the date you wish to travel. A per person deposit is required to confirm space on land journeys. Refer to the tour itinerary for detailed information on payment amounts, deadlines and penalties. You can make your secure credit card deposit online via the Guest Portal, by phone or by mail. Once the deposit is processed, a deposit packet is sent with pertinent journey details. Trips which include barges, boats and/or flights may require an additional deposit. Roundtrip group airfare, when offered on your itinerary, requires an additional deposit and may be subject to different cancellation penalties than the tour.
Final Payment for Land: An invoice will be sent approximately 90 days before departure and a non-refundable final payment, payable by money order, check or credit card, is due 75 days before departure. It is the responsibility of each passenger to make a timely payment. A final packet of information will be sent approximately one month before departure. Pay online via your Guest Portal, via phone or mail checks to: Earthbound Expeditions, PO Box 11305, Bainbridge Island, WA 98110, USA. If we do not receive payment on time, your travel is subject to cancellation at our sole discretion.
Cancellations Land: All cancellations must be made in writing and are effective upon receipt in our office. Deposits are refundable for 60 days from the processing date or 90 days prior to departure, whichever comes first. Payments made within 90-days of your departure date are non-refundable. A per person processing fee applies to all cancellations. No refunds are made for cancellations after the non-refundable deposit date. Refer to the tour itinerary for details on cancellation fees. We strongly encourage the purchase of travel insurance at the same time you reserve your journey with us. Please refer to your specific journey details, especially private and hosted journeys, as policies may differ.
Custom Cruise Reservations and Deposits: A per person deposit is needed to confirm space on our customized cruises. Progress and Final Payment for Custom Cruise Journeys: Following the deposit, an additional payment will be due approximately five months in advance and final payment is due 90-days prior to departure. Guests are strongly urged to purchase travel insurance once payments are no longer refundable. If we do not receive payment on time your travel is subject to cancellation at our sole discretion. Refer to the tour itinerary for detailed information on payment amounts, deadlines and penalties.
Cancellations Custom Cruise Journeys: All cancellations must be made in writing and are effective upon receipt in our office. Deposits are refundable for 30 days from the processing date or 90 days prior to departure, whichever comes first. Payments made within 90-days of departure are non-refundable. A per person processing fee applies to all cancellations. No refunds are made for cancellations after the non-refundable deposit date. Refer to the chosen tour itinerary for detailed information on payment amounts, deadlines and penalties. We strongly encourage the purchase of travel insurance at the same time you reserve your journey with us. Please refer to your specific journey details, especially private and hosted journeys, as policies may differ.
Advanced, Cancelled, Delayed or Postponed Sailing for Cruises: Please note that cruise schedules and tour activities can be subject to change due to changes in water levels, port accessibility, weather, and labor disputes or for any other reason whatsoever. The Owner or Operator of the cruise vessel may, at any time, cancel, advance or postpone any scheduled tour and may, but is not obliged to, substitute another vessel or itinerary, and it shall not be liable for any loss whatsoever to passengers by reason of any such cancellation, advancement or postponement. We at Earthbound Expeditions Inc. will do our best to provide equal or better accommodation or activities in such situations. However, Earthbound Expeditions reserves the right to withdraw and/or cancel a tour or to make changes in the itinerary and hotel accommodations whenever, in its sole judgment, or in the judgment of the vessel owner or operator, conditions warrant it. We strongly recommend purchasing travel insurance for all international journeys.
Luggage: You should be able to comfortably manage your luggage over short distances. Porters are generally available to assist you. Some of the castles, hotels and country inns we utilize do not have porters, but most of our lodgings are equipped with elevators. The key is not to over-pack.
Concerts, Festivals and Events: If (for any reason) the organizers of a scheduled concert, festival or event cancel or postpone a planned activity with little or no notice, Earthbound Expeditions will do its utmost to secure a similar event or secure another concert(s). Strikes, unscheduled delays, lack of funds and acts of God are beyond the control of Earthbound Expeditions. Cancellation of an event, festival or concert is not cause for refund. Please note that many classical, jazz and alternative music and film festivals do not release their lineup until 14 days to 90 days out. Therefore, if a festival concert schedule is deemed (by the hosts and Earthbound Expeditions staff) to be less than desirable, Earthbound Expeditions will do its upmost to book an alternative public and / or private event.
Hosted Journeys: If a host or special guest is unable to attend as planned, Earthbound Expeditions will do its utmost to find another host who has similar interests, talents and expertise. The inability of a host to participate in a tour is not grounds for a full or partial refund.
Earthbound Expeditions Supports Worthy Non-Profits: Earthbound Expeditions donates a portion of the tour proceeds to participating partner radio stations. In addition, Earthbound Expeditions makes donations to community youth centers in Cuba, Cambodia and South Africa, as well as donating to museums, schools, botanic gardens and other deserving organizations around the world. These funds are used to further support the non-profit community (arts, music, gardening, the environment and life-long learning) which is vital to enriching our travel programs and is at the heart of our mission. We are fortunate that so many of our friends and fellow travelers share our commitment to these worthy organizations and causes.
Consumer Disclosure Notice: EBE reserves the right to cancel a trip, change the itinerary, airline, hotel or adjust rates whenever in its sole judgment conditions warrant, or if EBE deems it necessary for your comfort, convenience or safety. Currency, taxes, fees and fuel surcharges are subject to change.
By offering reservations for travel in particular international destinations, EBE does not represent or warrant that travel to such areas is advisable or without risk. It is the responsibility of the traveler to become informed about the most current travel information, advisories and warnings by referring both to the U. S. State Department's travel website at www.travel.state.gov/ or by phone at 1-888-407- 4747 and by accessing the Centers for Disease Control (CDC) website at https://wwwnc.cdc.gov/travel/notices. In the event of an active State Department Travel Advisory Level 3 or 4 against travel to a specific location on your itinerary, and if the traveler still chooses to travel to the locale of a warning, the traveler assumes all risk of personal injury, death or property damage that may arise out of or which relates to the type of events warned against.
Trips outside the USA require a valid U.S. passport. Participants are solely responsible for ensuring their passports are up to date, do not expire for at least 6 months after the trip return date (a requirement to enter many countries), have two completely blank pages (for some countries) and have all necessary visas. We recommend that you keep a copy of your scanned passport (photograph page) on your email while traveling. You are responsible for, and release EBE from passport, visa, vaccination requirements, and safety conditions in travel destinations.
EBE strongly recommends you purchase appropriate cancellation/medical/baggage insurance for the trip. For medical information, call the US Public Health Service at 301-443-2403 and for US State Department travel advisories, 202-647- 5225. EBE reserves the right to decline to accept any person as a member of the tour, or to require any participant to withdraw from the trip at any time who presents a significant risk to the health and safety of themselves or others which cannot be eliminated or reduced to an acceptable level by EBE's reasonable accommodation. EBE reserves the right to correct an error in advertised price prior to your departure.
A contract is made when your reservation and payment are accepted by EBE at its offices and any dispute shall be governed by Washington law and subject to the jurisdiction of Kitsap County, Washington without regard to conflicts of law principles. All guest claims must be submitted in writing and received by EBE no later than twenty-eight (28) days after the completion of the EBE vacation. Guest claims not submitted and received within this time shall be deemed waived and barred.
In calculating the cost of your trip, EBE has relied on your consent to these terms and in the absence of this release, the trip cost would have been higher. EBE also reserves the right to cancel a tour prior to departure, and in such cases all payments made to date will be refunded and shall constitute full settlement.

This data is viewed only as anonymous statistics to show the busiest times of the day or week, pages with errors and how effective our advertising has been. Personal Information Collected – Order Forms
With the exception of credit card info, we store the information from your order form to allow us to track consulting issues or refer to a previous order to help provide some customer service. Governing Law/Jurisdiction/Class Action Waiver/Limitation of Damages/Notice: This Agreement and all attachments hereto and the rights of the parties hereunder shall be governed by and construed in accordance with the laws of the State of Washington exclusive of conflict or choice of law rules. Any claims shall be brought in a court of competent jurisdiction located in Washington. You agree that you will only bring claims against EBE in your individual capacity and not as a plaintiff or class member in and purported class action or representative proceeding. EBE shall not in any case be liable for other than compensatory damages, and your payment of a deposit on a trip means that you agree to these conditions of sale and expressly waive any right to punitive damages. You understand and agree that no claims will be considered and that you will not bring suit against EBE unless you have first provided a typewritten notice of claim to EBE within 30 days after the tour or cancellation of the trip.
Severability: If any provision of these Terms shall be unlawful, void, or for any reason unenforceable, then that provision shall be deemed severable from these Terms and shall not affect the validity and enforceability of any remaining provisions.
